What it does

Built for the committee, not the crowd

The wider community keeps using WhatsApp and never needs an account. The five or six people doing the organising get a place to keep track of who is doing what, what has come in and what has gone out.

A committee with clear roles

Whoever creates the event is its Chairperson. They invite people by email as Treasurer, Secretary or Committee Member, and each role sees what it needs. The Chairperson can adjust what a role may do, for that funeral only, and can hand the chair to someone else.

A task list that already knows funerals

Start from a library of the jobs a Kenyan funeral involves: mortuary and final care, permits, the venue and the grave, transport, catering, the ceremony, the programme and the clean-up after. Add the ones that apply, assign each to a member or a named outsider, and set a due date.

Contributions, pledges and expenses

Record each contribution with how it arrived, whether M-Pesa, cash, bank transfer or cheque, and its reference. Record pledges separately and mark them off as the money comes in. Record every expense with who was paid and what for.

An overview for each role

The Chairperson opens to the days until the burial, task counts, blockers, the financial position and the next meeting. The Treasurer opens to the money. The Secretary opens to meetings, decisions and the latest Brief. A member opens to their own tasks, overdue first.

Meetings, announcements and the Daily Brief

Record each meeting's decisions and actions. Write announcements, reminders and appeals once, then share them into WhatsApp. Each day, the Secretary prepares a Brief from the event's records, edits it, and shares it to WhatsApp or as a link that opens in any browser.

A record that is never lost

Every financial record shows who created it and who last changed it. A mistake is corrected or voided with a reason, never deleted. When it is over, a Treasurer signs off the accounts, the Chairperson closes the event, and the record stays for every member to read.

Create the event

Enter the name of the person who has died, the burial date and the place. The event is named Celebrating the Life of them, unless you prefer another name.

Invite the committee

Invite each person by email and choose their role. The invitation arrives from a sendoff.co.ke address and waits for them, even if they sign up later. Everyone else stays on WhatsApp.

Run it, then close it

Track the tasks and the money and send out the Briefs. Afterwards, review what was done and what it cost, and close the event. It stays readable, and read-only, for everyone who was on the committee.

Figures the whole committee can stand behind

Money is where committees fall out. Every figure in SendOff Kenya is worked out once, from the records, so the Treasurer, the Chairperson and the members are all looking at the same numbers.

  • Agreed budget, received, spent, available balance and funding gap, each opening to the records behind it
  • Pledged money is always shown as pledged, apart from money received and never added to the balance
  • Every record carries who recorded it and when, and every change is kept in its history
  • Committee Members see the totals by default, not who gave what, unless the Chairperson opens that up

Keeping everyone informed

One Brief a day, without asking anyone to install anything

The Brief is prepared from the event's own records: what was completed, what is in progress, what is blocked, where the money stands, and what was decided. The Secretary edits it, then shares it.

  • Share it to the family and community WhatsApp groups as a formatted message
  • Or share a link that opens in any browser, with no account, and switch it off whenever you like
  • Contributor names appear only if the Chairperson switches that on, and a contributor who asked not to be named never does

What committees ask

Does SendOff Kenya collect the money?

No. Contributions are sent and received the way they always have been, by M-Pesa, cash, bank or cheque. The app is where the Treasurer records what came in, with the reference, so the committee has one agreed account of it. It never asks for M-Pesa, card or bank details.

Does everyone need to install the app?

Only the committee. Family, friends and the wider community keep using WhatsApp. The Secretary shares the Daily Brief and announcements to WhatsApp from inside the app, or as a link that opens in any browser without an account.

Who can see who gave what?

By default, Committee Members see the overall totals but not individual contributions; the Chairperson can open that up. A contributor who asks to remain anonymous is named only to the Chairperson, Treasurers and Secretaries. Contributor names appear in a Brief or on a public link only if the Chairperson switches that on for the event.

Can a record be deleted?

Financial records cannot be deleted by anyone, which is the point. A mistaken contribution, pledge or expense is corrected by editing it, or voided with a reason. A voided record leaves the totals but stays visible, with who voided it and why. Tasks and meeting notes can be edited and removed by the roles allowed to.

Is SendOff Kenya free?

Yes. There is nothing to pay in the app and no paid tier.

Does it work without a connection?

The app needs a connection to save anything. If your phone goes offline it says so at the top of the screen, and nothing is saved half-way: what you typed stays in the form so you can save it once you are back on the network. Everything is in English, in Kenyan Shillings and in East Africa Time.

Which phones does it run on, and how do I sign in?

iPhone and Android phones. You can sign up with an email address and password, or sign in with Google or Apple. It follows your phone's light or dark setting.

SendOff Kenya is made by Redbarn Information Security Ltd, a United Kingdom company, for the committees organising funerals in Kenya.
